September 24, 2015 Meeting Minutes

Maple Ridge Estates HOA Meeting 9/24/15

Attendance: Julie, Janet, Alberta, Brian, Rick, Shannon, Pete and Ian

Minutes: They were just put up online recently due to technical difficulties and will need to be approved at the next meeting.

Treasurer’s Report:

Pete gave us an updated report with up to date amounts. We got reimbursed half of the amount for the 2 new benches in the park from the city of Renton and Sean and Rick will talk to the home owner about the plaque for one of the benches and her donation.

Audit will be done in the next month. Pete will email Rick who used to be on the board to set up a time and Shannon on the board and Steve Creekmore will also be there to help with the audit.

There are about 30 houses who have not paid their dues for this year and there are 10 houses who are delinquent for more than one year. Next step to the houses over a year delinquent may include sending a certified letter that we will file a lien if not paid in full.

ACC Report:

All the emails people send in to get approvals are checked, approved and current by the ACC members.

Maintenance:

Janet will talk to Sean about contacting Canber to get the water shut off for the year, winterize the sprinklers and look to see if there is a leak near the playground.

There was a complaint about a pop up canopy being up for months at one persons house and per our CNR’s that is not allowed. Rick will talk to the homeowners about removing the pop up canopy from the driveway.

Brian is looking at lighting for the monument at the lower entrance to the neighborhood. He has them narrowed down and plans on getting the new lights up and installed by this Halloween.

Ian will look at contractors drop boxes that we can put up on our mailboxes to put flier in for neighborhood events. We can put fliers in them rather than passing them out to all houses since we have had feedback before that some people do not like us putting fliers on their front porch. He will email the board once he finds some to get approval for buying one for each mailbox in the neighborhood.

We decided not to do a fall dumpster for yard waste this year and will resume the dumpster next spring.

Annual Meeting:

It will be 11/9/15 at 7 PM at Fairwood Library. We will have 2 drawings for half off dues again. Alberta will bring cookies and bottled water for the meeting. Shannon will update Facebook and the HOA website to announce the annual meeting. Brian will provide the agenda for the annual meeting and will include the Facebook and HOA website on the agenda so the homeowners will know how to get ahold of the HOA.  Brian will also send out the questionnaire to the board before the meeting so we can review it and make any necessary changes.

Shannon will have fliers ready by Sept 21st and the A frame  boards will go out the first week in November to advertise the annual meeting.

July 30th , 2015 Meeting Minutes

Maple Ridge Estates 7/30/15 HOA Meeting

Attendance: Pete, Brian, Shannon, Janet, Rick, Alberta

Minutes approved from last meeting by everyone.

Treasurer: No new business. No one new has paid since last meeting. Pete has sent some letters. Most people that have not paid have not done so for years or are rental houses.

ACC:  Need to have people on ACC committee check the email as people are submitting paint samples through the website and are not getting responses.

There is a slow leak near the new playground in the common area. Sean Michael is trying to get a hold of Canber to have them fix it and we are not hearing back. Will continue to have Sean Michael check in with them to get it fixed.  Our contact/account manager at Canber passed away and they are in the process of hiring a new person.

August 12th City of Renton Picnic:  5:30 – 7:30. Will include in flyer to bring in canned food items and we will have a raffle. Three people on the board will bring raffle prizes.  We will also have a ribbon cutting ceremony for the new park.  Janet will get supplemental water and drinks.  Shannon will bring the tickets for the raffle. We will have three people show up early to help the City set up.

Maple Ridge Estates HOA Board Meeting

May 21st 2015

I. Call to order

  1. Attendance: Brian, Shannon, Ian, Alberta, Pete, Janet, Rick
  2. Approval of prior Meeting Minutes: approved by all

II. Committee Report

  1. ACC: no new applications for paint colors, fences, etc. Alberta’s neighbor has long grass/weeds that she will talk to about getting it mowed and cleaned up.
  2. Maintenance: Lights on the monument at the entrance at SE 158 are broken and not working. Same with the lower entrance lights. We are going to price out units and look at it to see if we can do the work versus hiring an electrician come in. All the board members present approved up to $500 for 4 lights: 2 for the upper entrance and 2 for the lower entrance. Brian will research prices.
  3. Fence: there is a broken fence by the View Pointe entrance in the upper part of the neighborhood. Pete dropped off some posts at Ricks house to help repair it. Brian and Shannon will help him.

III. Business

  1. Park benches donation: the Aulakh family is donating $500 for the benches. The board members present unanimously approved to get the 2 benches ordered for $1200. We are applying to get a matching mini grant from the city of Renton so the out of pocket for the HOA will be around $200.
  2. Upcoming Events
    a) Community Garage Sale: we are waiting to see when the surrounding neighborhoods are doing their garage sale so we can piggyback on theirs. We will send out a flier. Likely the weekend of June 27-28.
    b) City Picnic: August 12th is the picnic. We will send out fliers before that.
    c) 4th of July Picnic: it was decided to go ahead and do the picnic this year. HOA will supply the hot dogs, condiments and chips. We are asking everyone else to bring a side dish.

IV. Treasurer Report

  1. Dues: Pete advised a lot of people have paid past dues recently. About 2/3 of people have paid for this year.
  2. Audit: Pete will ask his neighbor and Rick will ask his neighbor to get the audit done by end of July.

Next Meeting will be July 30th at 7 pm. Location TBD

March 26th, 2015 Meeting Minutes

Maple Ridge Estates HOA Meeting 3/26/15

Attendance: Brian, Rick, Alberta, Sean Michael, Shannon and Janet

Minutes approves from last meeting.

  • Looked at benches to put in the park. Found a few we liked and are looking for better pricing. Brian will put it out on Facebook asking if others want to contribute as well. We approved a price and design. We are using $500 donation and $500 city grant matching. Will use funds from HOA is needed but trying to use raised funds to pay for it.
  • Discussed signage in the park by the new play structure. We are thinking putting hours, private property and play at your own risk on signage. Looking at putting 2 signs up.
  • Pete and Shannon spoke to the Porters last month and they said they will keep their front yard cleaned and not work on their car in the driveway per the CCR. We also discussed them putting a cover on their classic car that is not a tarp. They said they will try to keep the newspapers cleared from their yard as well.
  • Spring Cleaning event April 17,18 and 19th. Our service project for getting the city to come out for the summer BBQ will consist of: cleaning our entrance areas to the neighborhood, cleaning our signs (pressure wash) and yard work in the park. We will be also providing a yard waste dumpster that weekend.
  • We will pass out fliers for the Block Watch and Spring Cleaning. Shannon will make the fliers and we will pass them out next few weeks. The Block Watch Meeting will be April 16th at Maple Wood Golf Courses.
  • Next meeting will be May21st @ 7 pm at Janets house.

February 26th, 2015 Meeting Minutes

HOA Meeting Maple Ridge Estate
In attendance:

Minutes from last meeting in November approves unanimously.

New positions:

Pete passed out the treasures report. 20 houses pass due and we are sending out notices soon for this years dues.

We are going to get a mini grant for benches. We will have $1000 to spend from donations from a neighbor.

Pete will work on getting the audit done.

The monument on the 140th entrance lights are out. Will need to get an electrician to come out. Pete will have someone give us a bid.

Will get up to 2 Mitt Mutts orders a year. Each is about $90 an order and will look at cheaper options.

Will look at costs for signs to put in the park that say park hours etc.

There is a house with a broke down car, lots of newspapers, car parts etc that neighbors are complaining about. We will go and talk to them to see what we can do to help. Rick and Shannon will try and talk to them to figure out a plan.

There is a POD that has been in a driveway and that person is doing a house remodel.

Spring cleaning April 17-19. Sean will order the dumpster.

Sean will look into getting a dumpster for spring cleaning project for the city picnic.

June 5th, 2014 Meeting Minutes

June 5th 2014 HOA Board Meeting

Members Present: Julie, Theresa, Brian, Sean, Ian, Rick and Shannon

Minutes Approved from 3/26/14 meeting

Neighborhood Garage Sale is June 27th to 29th. Ian will put info on the website and Theresa will put out the A frame signs.

July 4th Parade and Picnic: Assigned out duties for the day, Brian will get the food, Ian will bring a poster of the play structure, Julie will make a flier for the garage sale and parade.

Play structure: Canber will give us a bid to prep the site as well as the company we are having build the play structure to compare prices.  Also need to pick out a spot for the play structure.

ACC has a email that people email requests to. The email address and password were passed out to members on that committee to check it and approve requests. Ian will be taking care of emails sent to HOA@mapleridgeestates.org.

Ian will update HOA website with a FAQ section for complaints.

Rick will send out a letter to the house with the cigarette problem.

Brian will send out letters to the 3 houses with yards that need to be cleaned up.

September 23rd, 2014 Meeting Minutes

MRE HOA Meeting 9/23/14

Members Present: Brian, Ian, Sean Michael, Rick, Pete, Alberta and Shannon

  • we discussed the Playground that is being built 10/11/14 at 8 am. We will be distributing fliers and putting out the A frame signs. Pete will be getting the cement and Shannon will be getting Starbucks to donate coffee for the morning.
  • Annual Meeting: Rick will be contacting a local church about reserving a room and Shannon will contact the city of Renton to see about rooms avail as the library is still under construction.
  • Garbage at house on 158th is picked up now. They have had problems in the past with garbage in their front yard.
  • Fence approved for a house on 1400 SE 159th St
  • ACC is also approving items through the website

Maple Ridge Estates HOA Meeting 3/26/14

Minutes approved from last meeting on 3/1/14

The purpose of this meeting was to vote on a play structure. We had two proposals to work with: PlaySense and Playworld. We debated on the pros and cons of each proposal. After discussing each option and looking at the bids as it relates to the volunteer labor we can do as a community and the price, we decided on the Playworld bid. It comes in about $3k-$4k cheaper than the other bid and allows up to do as much volunteer work as we need in prepping the site and the actual building of the play structure.

We all reviewed the grant application for the city of Renton and finalized the grant. Shannon will get all the needed documentation together for the grant and send it out to the board members this weekend to review. Once that is done she will have Brian sign the application as he will be the project coordinator and she will turn it into the city of Renton before the April 4th deadline.

Sean brought up the issue of people being concerned there are people walking in our neighborhood that may not belong. We also brought up the incident of someone being attacked a few months ago and if we can follow up on that to keep people in our neighborhood informed. Sean will email Cyndie Parks to see if they have a flyer about neighborhood safety and walking safety. If so, we can pass this info along in our next flyer to the neighborhood.

Our next meeting will depend on when we find out about the grant and if we are approved. The grant process takes around 45 days to review. We cannot start the build of the play structure until we know if we are approved for the grant or not.

March 1st, 2014 Meeting Minutes

Maple Ridge Estates

HOA Meeting 3/1/14 in the common area at 2PM

This meeting was to address the spot for the play structure in the common area.  Members Present were Brian, Michael, Ian, Alberta, Rick, Shannon and Julie. We also had about 7-8 other people from the neighborhood.

We discussed the area for the play structure and the concerns of it being too close to houses for the noise factor. We have a site in the common area where drainage may be an issue so we are having both companies give us a bid for the best area and the cheapest area to put the play structure. Rick will also get a quote from a professional on how much it would cost to prep the site. He will also see if they will lower their fee so we can use that towards the Grant.

The main issues we have are being able to prep the site ourselves with volunteer labor. The Grant will match volunteer labor hours. We want to be able to do as much as we can to get matching Grant funds from the city of Renton.

We are meeting March 26th at 7 pm at Ricks house (15813 140th Ct SE) to review both companies plans and quotes for the cost of the final project. We will vote on a plan/company and finalize the Grant. The Grant is now due April 4th.

Feb 12, 2014 Meetings

HOA Meeting 2/12/14 at 7 PM

Members in attendance: Theresa, Brian, Alberta, Julie, Pete, Michael and Shannon.

Meeting minutes from 1/22/14 were approved unanimously.

ACC

No new requests received. Michael gave a brochure to Julie of a fence he may get to replace his.

Maintenance

Shannon ordered Mutt Mitts (approved in the last meeting) and will put them in the bins we already in the common areas. It was voted and approved to buy 3 signs to put in the common areas to remind people to pick up their dog poop. 3 signs were previously agreed upon by the HOA and Rick will purchase them.

Brian will check out different options for the monument lighting at the south entrance to the neighborhood. It appears the part that holds the light bulbs is old and does not keep the light bulbs in place so they do not work anymore.

Block Watch

We discussed the Block Watch Program and that we need to have an annual meeting with Cyndie Parks to stay in an active status. We will put this info up on the website and try to have flier at the annual picnic so members in the neighborhood are aware of the program.

Playground

We discussed the playground. There were about 6 people from the neighborhood that are not in the HOA attend. We discussed the playground and grant application process. We were not able to get both quotes in time for the meeting today to review.

We will meet on 3/1/14 at 2 PM at the site of where the playground will be to go over both options and vote on it. Brian and Ian both secured quotes. If the weather is bad we will go to Shannons house to continue the meeting. We will need to get a list of all volunteers and the hours they will be volunteering with the playground for the grant. We will put up this info on the website so people who are interested can sign up and have the option of attending the meeting on 3/1/14. The grant app is due 3/7/14 and if approved the city of Renton will match labor hours and money raised for the project. The purpose of the next meeting is to vote on proceeding with the playground or not based on final quotes.

Treasurer

Pete handed out the estimated budget for 2014 and February’s treasurer report. He will also be mailing out the dues soon. He will include in the dues letter an option to give us your email address to receive future dues via email and will include the website for the HOA.
